About the Position

Build Nova Scotia is seeking a recent new graduate for an Administrative Assistant position in Halifax, Nova Scotia.

The Administrative Assistant provides essential administrative support for the CEO Office. This role involves handling a variety of administrative and clerical tasks, supporting staff, and maintaining organized files and systems with a key focus on confidentiality.  

This position will support and report into the Senior Executive Administrative Coordinate for the CEO Office.  

In addition, this position will have the following responsibilities:

  • Support daily office administrative operations for the CEO Office
  • Answer and direct emails and other communications in a professional manner
  • Prepare, proofread, and distribute documents, reports, and correspondence as needed       
  • Maintain organized filing systems (both electronic and paper)
  • Order office supplies and monitor inventory levels as needed
  • Print and file documents for CEO Office and Human Resources
  • Assist with data entry, record keeping, and database management
  • Support administrative HR functions as directed including filing, job postings, etc.
  • Handle highly confidential information with high degree of discretion and professionalism
  • Assist in organizing company meetings and presentations
  • Liaise with internal departments and external vendors as needed
  • Arranges for catering, booking venues and accommodations as needed
  • Other duties as assigned

Qualifications

  • 2-year diploma or certificate program in a business administration or related program
  • Previous experience in a similar position would be considered an asset
  • Bookkeeping training / experience would be an asset
  • Excellent computer skills including Word / Excel / presentation software
  • Working knowledge of office equipment, i.e. photocopiers, printers, etc.
  • Strong interpersonal and communication skills with the ability to work with the public by using good judgment in handling customer complaints
  • Must be able to work independently and with others, be proactive and show initiative to take on new projects, have excellent time management skills, ability to multi-task, and be able to work under pressure of deadlines
  • High regard for quality, accuracy and attention to detail is required
  • Ability to take minutes would be an asset
  • Discretion is essential to maintain confidentiality
  • Thrives in complex situations with the ability to make difficult decisions
  • A driven, perpetually positive attitude and entrepreneurial spirit
