Job Description:
Reporting to the Payroll and Benefits Manager, the Payroll Coordinator is an integral member of the Human Resources team and will be directly responsible for supporting the daily HR and payroll operations of Horizon Maritime Services and its group of companies. Duties shall include data entry, report generation & analytics, file management, and preparing HR correspondence. The Coordinator will be responsible for timely responses to payroll and benefits inquiries from employees, management and external parties. Additional responsibilities shall include basic accounting tasks such as journal entry preparation and reconciliations. The Payroll Coordinator will also participate in departmental projects and system and policy development.

Responsibilities:

  • Entering new hire information, employment/contract status, banking, benefits and time sheet information into the company's HRIS and payroll systems
  • Ensuring employees are enrolled in the Company's benefits and pension plans and providing onboarding support to new employees
  • Responding to internal and external payroll and HR related inquires from clients, crew, department managers and staff
  • Researching discrepancies and following up with supervisors on payroll related matters
  • Reconciling and verifying account balances; Performing journal entries; Issuing ROE's
  • Setting up and modifying payroll accounts within the Company's payroll system
  • Maintaining payroll files and records
  • Communicating with external parties (WCB, Pension Plan, Benefits Provider, Service Canada, CRA) for the purposes of ensuring accurate processing of payroll deductions and garnishments
  • Running a variety of payroll, pension and benefits reports on a regular basis
  • Calculating and tracking vacation and sick time
  • Calculating benefits deductions and day bank summaries for employees
  • Supporting disability case management processes
  • Participating in the annual benefits renewal process- Preparing formal communications (letters, documents, memos) to employees for management review
  • Assisting with the continual implementation and maintenance of the company's HRIS
  • Supporting the team in completion of annual governmental reporting including employment equity and pay equity programs

Qualifications

  • Graduate from NSCC's Human Resources Graduate Certificate program
  • 1 year of experience working in an office environment preferred, but not required.
  • Strong working knowledge of MS Office applications including: Word, Excel and Outlook-
  • Strong time management and organizational skills
  • Good communication and interpersonal skills
  • Strong work ethic and positive team attitude
  • Working knowledge of accounting principals and mathematical reasoning
  • Effective attention to detail and high degree of accuracy
  • Adaptability and flexibility to work in a fast paced and changing environment
  • Willingness to obtain PCP payroll designation
  • Tact and diplomacy in dealings with employees and a commitment to confidentiality
  • Calm and professional demeanor
