Reporting to the Quality Assurance Manager, the Document Control Administrator will be responsible for the control, availability and archival of all documented information at STELIA North America.

In this role, you will:

  • Manage the creation, storage, control and revision of internal and external documented information, including, but not limited to: drawings, models, specifications, electronic files, and procedures.
  • Regulate document file formats while ensuring availability of documented information.
  • Control the distribution of documented information (i.e. for information only, controlled copies) including protecting documented information from misuse, loss, corruption, and degradation.
  • Archive and protect obsolete information and ensure it is controlled and removed from service.
  • Serve as the account administrator for all customer portals and 3rd party portals where applicable.
  • Compile, upload and distribute documents to customers and suppliers and retrieve documents and complex data packages from external sources.
  • Oversee the internal and external document review processes.
  • Perform audits of the document control process.
  • Support document creation and revision process as well as train and support employees of the document control process.

Qualifications

You have:

  • Diploma in Business/Office Administration or Grade 12 (GED) plus equivalent experience.
  • 2+ years of experience in administration and support.
  • Attention to detail and strong organizational skills.
  • Ability to effectively communicate with all levels within organization in a professional manner.
  • Strong computer skills with proficiency in Microsoft Office Programs (Word, Excel, etc.) is required.
  • Experience in cataloguing documents and the maintenance of the tracking system is an asset.
  • Highly motivated and ability to take initiative while working in a constantly changing, fast-paced environment.Dedicated team player, who demonstrates initiative and independence.
