About the Position

The Human Resources Assistant has a customer-focused mindset and contributes to the overall success of our organization through supporting key HR functions such as assistance of employee payroll, pension, and benefits programs; recruitment and onboarding; coordinating and tracking training and development; and acting as a first line of support for employee inquiries and requests. The ideal candidate will be detail-oriented, possess strong communication skills, and be able to maintain confidentiality while supporting our HR initiatives.

Responsibilities:

• Act as the first point of contact for HR-related inquiries and requests.

• Complete employee file setups in required payroll systems for all new hires and complete status changes, transfers, and terminations.

• Administer group insurance and pension enrollment for all new hires and complete status changes, transfers, and terminations.

• Digitize HR records and maintain accurate, up-to-date digital employee files in the HR information system (HRIS).

• Maintain HRIS by tracking and reporting on employee data, such as paid leaves, to ensure that accurate and timely information can be made available to leadership and staff.

• Implement and manage payroll changes, including salary adjustments, deductions, and other payroll-related updates.

• Support recruitment and onboarding by ensuring hiring documents are completed correctly, assisting with planning and preparing orientation sessions, supporting the planning and coordination of initial on-the-job training, and acting as the first point of contact for general queries from new employees.

• Take the lead in the co-op funding application process.

• Work closely with the HR team to provide support in areas including compensation administration, recruitment and onboarding, and training and development.

• Provide general administrative support to the HR department, such as scheduling meetings, preparing reports, and coordinating HR initiatives.

• Assist with activities related to programs and initiatives under the E1 employee experience framework, such as compensation, benefits, career & development, and lifestyle & well-being.

• Perform or assist with other HR duties/reports/projects as required.

Qualifications

  • Must be an NSCC Graduate (or graduating in May/June 2025) with a diploma in Human Resource Management

Knowledge, Skills & Experience Requirements:

• Proficient with Microsoft Office software including Excel, Word, PowerPoint, Outlook, Teams, and OneNote (advanced knowledge of Excel would be especially helpful in this role).

• Working knowledge of multiple human resource disciplines including benefits administration, payroll/employee set-up, recruitment, training and development, and policy interpretation and development.

• Experience and ability to work effectively within an HRIS.

• Excellent communication skills, including writing, speaking, and listening to facilitate the effective sharing of information while paying careful attention to employees’ questions and concerns.

• Strong critical thinking capabilities that enable problem-solving, decision-making, resolving employee concerns and inquiries, and escalating issues when needed.

• Ability to work well under pressure and meet tight deadlines.

• Strong attention to detail and good organizational skills.

• Excellent interpersonal skills that enable positive interactions with new employees and engagement with people from various backgrounds and experiences.

• Self-motivated with the ability to work independently, take initiative, and handle multiple tasks in a fast-paced environment. Education & Certification(s) Requirements:

• Eligibility to become a Chartered Professional in Human Resources (CPHR) Candidate is preferred.
