We are seeking a highly organized and detail-oriented Finance Specialist to join our group of companies. This role is crucial for ensuring the efficient management and execution of financial processes for multiple companies. The Finance Specialist will be responsible for accounts receivable, visa reconciliations, bookkeeping, invoicing, program administration, and general administrative support. This position offers a great opportunity to develop your financial management skills in a friendly and supportive work environment.

This is a full-time, 40-hour/week position, with core business hours being 10am-4pm, Monday to Friday. You will work from our Halifax office, with flexibility to work remotely. Qualifications

Qualifications:

  • 1-2 years of experience in a similar finance or office administration role.
  • Proficiency in QuickBooks accounting software, Microsoft Excel and Word.
  • Excellent organizational and time-management skills.
  • Ability to handle multiple tasks and priorities effectively.
  • Strong attention to detail and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and take initiative to accomplish tasks or improve processes.

Responsibilities

  • Accounts Receivable: oversee and manage all aspects of the accounts receivable process, including invoice preparation, sending reminders, and tracking payments.
  • Visa Reconciliation: perform regular reconciliation of corporate credit card statements to ensure accuracy and accountability of all charges.
  • Bookkeeping: maintain accurate and up-to-date financial records using accounting software to record, store, and analyze information.
  • Grants and Funding Applications: manage memberships with government organizations (Export and Development Canada, Trade Commission Service, ACOA, Invest NS, etc.) and develop awareness of funding programs and grants available and prepare required documentation and reporting.
  • Invoicing: prepare accurate and timely invoices for various program and ensure they are matched to the appropriate accounts and customers.
  • Administrative Support: provide support for program administration, office needs, and to the Executive Director.
  • Compliance: ensure compliance with financial policies and regulations.
