About the Position

Project Administrator

Reporting to the Manager Product Control & Support, the Project Administrator provides administrative and financial support on various construction projects.

In addition, the Project Administrator will assist Project Managers on assimilating project plans, monthly project status reports, purchase orders, minutes and stakeholder meetings.

Highly organized and able to meet tight timelines, the Project Administrator is vital in keeping project documentation moving forward by providing timely support.

RESPONSIBILITIES  

Duties: Supports the Manager, Product Control & Support in the implementation of processes and procedures to enhance the departments workflow.  

Follows up and completes duties assigned by Manager, Product Control & Support including but not limited to:  

  • Maintaining job costing spreadsheets.
  • Processing AP for trade contractors and suppliers by matching purchase orders and invoices and receiving orders.
  • Billing duties as assigned.
  • Updating progress of jobs on various software platforms.
  • Keeping up to date project minutes.  
  • Assist Project Managers, to ensure their administrative workflow is minimized:   
  • Preparing proposal documents and binders for submission.
  • Organizing, preparing, submitting, and tracking of all documents for the Project Team including tender documents, contracts, purchase orders, and Monthly Project Status Report for clients.
  • Obtaining and processing all submissions.
  • Preparing and tracking maintenance schedules and project rentals.
  • Scheduling, organizing, creating agendas, and participating in stakeholder meetings.
  • Publishing minutes and distribute as directed. 
  • Filing and archiving of project documents.
  • Obtaining, organizing, and processing, project close-out documents and binders.
  • Participate in meetings, including but not limited to clients, architects, trade contractors, professional consultants, and internal staff.  
  • Manage risk by proactively gathering and tracking insurance, licensing and safety program requirements for trade contractors and vendors.
  • Conduct quality control activities, inspection programs and periodic updating of construction progress reports.
  • Coordinate all printing, couriers, and shipments.
  • Perform administrative duties for safety program as required.
  • Other duties and responsibilities as assigned by Manager, Product Control & Support.
  • Assist with Accounts Payable posting on billing week, as required.

Qualifications

HARD SKILLS REQUIRED

  • Business degree or diploma from accredited college or university.
  • 2 years supervised work experience.
  • Understands construction and project management processes and project delivery sequences.
  • Good knowledge of construction-based project management software i.e., Procore, Microsoft Project.
  • Good knowledge of Microsoft Office – Word, Excel, Outlook, Teams, and PowerPoint.  

SOFT SKILLS REQUIRED
