About the Position

QuickFacts is a Software as a Service (SaaS) that organizes and presents information on a single search-engine website. Currently, we provide the solution to the insurance industry, offering brokerages a one-stop location for all their carrier information and organizational workflows.

In addition to our Sofware Solution, we provide project work & support services to our clients. We are currently seeking an Entry Level Office Coordinator. The ideal candidate is a friendly, creative, and organized individual to join our team and assist in our marketing endeavours.  Ideal candidates are self-motivators that have passion, creativity and design abilities and are highly organized. 

About the Role: 

  • Assist in the approval of absence requests 
  • Prepare and arrange documents for employee quarterly check-in (reviews)
  • Post Jobs ads when needed
  • Plan & Execute team functions 
  • Maintain/organize monthly receipts for the bookkeeper 
  • Quality Check receipts on a bi-monthly basis 
  • File monthly funding documents 
  • Run Payroll bi-weekly 
  • Add and remove employees to payroll as needed
  • Prepare ROEs as needed 
  • Other administrative duties as they arise

Qualifications

Ideal Candidate: 

  • You have recently completed a College or University program. 
  • You are discrete since you will be handling high-level confidential information. 
  • You are a very organized person.
  • You can efficiently manage the electronic AP document flow and handle invoices.
  • A structured process is maintained, but no two days are the same, so you don’t mind handling “one-off” situations.
  • You can create a schedule and stick to it.
  • You see yourself as being highly efficient and able to work quickly without sacrificing accuracy, but you always look for ways to improve processes and work more efficiently.
  • As part of a team, you communicate well, and you can build relationships with others to facilitate the sharing of information around the requirements of the AP process. 
  • You are willing to “pitch in” and provide back-up to accounts receivable or other parts of the finance team as necessary.
  • Your time management skills are excellent, thus helping ensure that deadlines are always met.
