Halifax Regional Municipality is inviting applications for the temporary (up to 6 month term), full-time position of Administrative Assistant ll in Talent Acquisition, Human Resources. This is an opportunity for a candidate who thrives on starting a project and seeing it through to completion!

Under the direction of the Manager of Talent Acquisition and working closely with our Records Management Intern and Administrative Assistant, this role will primarily support the file management of competition and personnel files. This position will also support their colleagues and Talent team by providing clerical, technical, administrative and communication support to Human Resources professionals. This position requires a strong collaborator with initiative and confidentiality; communication, organizational and proofreading skills; who is able to function effectively within a bustling office environment. 

DUTIES AND RESPONSIBILITIES:

Responsible for assisting the team with staffing: administers the documentation for job postings; ensures accuracy of information on staffing reqs; reviews all job postings to ensure formatting accuracy and makes changes as needed to ensure brand compliance and posts job through the applicant tracking system; creates competition files; ensures closed competition file contains required documentation, archives and forwards closed competition files yearly to HRM Records Management Centre.

Processes inquiries in a timely, professional manner and ensures that all inquiries redirected to staff are followed up with.

Maintains confidential files such as personnel files, job competitions, etc.

Utilizes SAP to obtain information related to maintaining the records management system. 

Performs general office duties such as photocopying, scanning, sorting, preparing packages for courier delivery, inventory and maintenance requests for office supplies and equipment.

Performs other administrative duties as assigned, and/or special projects in support of the Manager.

Qualifications

Education & Experience:

Grade 12 (or equivalent) and related clerical or administrative training from a recognized educational institution.

One year of related experience, preferably in the Human Resources field. Equivalent combinations of educational and experience will be considered.

Technical / Job Specific Knowledge and Abilities:

Knowledge of current office management and administration procedures.

Proficiency in current, effective computer technology and related software, i.e., SAP, Microsoft Office.

Attention to detail and a strong appreciation for organization.

Ability to work in a team and well as independently.

Ability to evaluate information and inquiries and determine an appropriate response, taking into account the needs for confidentiality, tact and responsiveness proficiency.

Security Clearance Requirements: Applicants may be required to complete an employment security screening check.

Please note - Testing may be conducted as a component of the selection process to assess technical and job specific knowledge. Candidates, who are selected for testing, may be tested in a group setting, scheduled at the employer's discretion. Interview, testing, and in-person recruitment activities are being conducted in adherence with current COVID-19 Public Health protocols.

WORK STATUS: Temporary (up to 6 months), full-time. 

HOURS OF WORK: Monday to Friday, 8:30am-4:30am, 35 hours per week.

SALARY: Level 2, Non-Union, $43,630 - $59,990.

WORK LOCATION: 8th floor - Purdy’s Wharf, Tower II, 1969 Upper Water Street, Halifax
