Who are we?

Feed Nova Scotia is a charitable organization whose mission is to increase food security through food distribution, education, and collaboration. In terms of food distribution, we collect and distribute more than two million kilograms of food annually to 140 member agencies across the province, including food banks, meal programs, shelters, drop-in centres and other organizations. This equates to about $1 million worth of food each month. We also support our member agencies as they build capacity to serve their communities, we raise awareness of the realities of food insecurity in our province, and we advocate for social change to address food insecurity at its core.

What is a Christmas Registry Assistant?

Each year, the Community Connections team at Feed Nova Scotia administers a central food and gift support registry from October to December, matching residents who have requested support with organizations generously providing that support. This registry is limited to residents within the Halifax Regional Municipality.   

The Christmas Registry Assistant is key to ensuring that requests for support are processed effectively and that those who request support receive kind, clear and timely communication about their request for support. Christmas Registry Assistants will process and enter data from support requests using two different databases, Link2Feed and AirTable. They will also communicate with those who have requested support regarding their request.

Christmas Registry Assistants will occasionally be involved in various aspects of the registry, however, working as a team does allow some flexibility in division of labour within each role. We can still build a strong, balanced team even if everyone doesn’t have strong skills or experience in every area.

What does a Christmas Registry Assistant do?

•  Accurately and efficiently enter information from support requests into Link2Feed database (e.g. personal client information, Christmas assistance required by each household)

•  Handle both inbound and outbound calls with empathy, respect and make every effort to provide clear and accurate information

•  Communicate with recipients about their support using both inbound and outbound texts and emails

•  Follow all processes and practices consistently

•  Assist with assigning food and gift support to households

•  Assist in quality control of data, to ensure accurate entry and reporting

•  Use reporting functions of the Link2Feed database to generate and record results

•  Other tasks may involve troubleshooting, probing and/or problem-solving challenges that arise throughout the process

•  Recognize and respect the importance of privacy and confidentiality for those who have registered for support; exercise sound judgement in protecting clients’ right to privacy

Qualifications

What are we looking for?

  • Proficiency in MS Office with expertise in Microsoft Word, Excel and Outlook; experience with database use and maintenance considered an asset
  • Comfortable and efficient in navigating online resources
  • Excellent verbal and written communication skills in English are required; secondary or tertiary languages would be considered an asset
  • Demonstrated call-center experience in a frontline support role; experience supporting vulnerable populations considered an asset         
  • Exceptional interpersonal skills; awareness and practice of emotional intelligence
  • Experience with data-entry work and/or demonstrated ability to follow procedures and processes
  • Demonstrated ability to multi-task (for example, talking on the phone while simultaneously entering accurate information and details into the database)
  • Strong time management skills and excellent attention to detail
  • Flexibility and ability to quickly adjust to changes in priorities and adjustment to process
  • Understands the importance of client confidentiality policy and will consistently be respectful of clients’ privacy when handling personal information
  • Ability to read cursive handwriting is an asset Demonstrated ability to work collaboratively while being responsible for individual work
  • Centres equity, diversity, and inclusion in their work
