DUTIES AND RESPONSIBILITIES SUMMARY

  • Provide administrative bookkeeping support in tasks pertaining to the daily operation of the Foundation, including managing the meeting schedule and coordinating invitations for AGM, Volunteer Reception and other functions ?
  • Coordinate all committee meetings and correspondence. This includes meeting reminders, ensuring quorum, arranging speakers and food ? Coordinate and schedule all kiosk rental, table bookings and raffle ticket sellers ?
  • Maintain tracking spreadsheets and communicate with key staff around the funding of equipment ?
  • Act as the Raiser Edge Software specialist for the Foundation (training will be provided) ?
  • Oversee daily operations and maintain accurate record keeping for receipting of gifts and financial information of donors and prospects using fundraising software ?
  • Oversee the Foundation’s banking, which includes preparing bank deposits and maintaining accurate banking records, making bank deposits, preparing and maintaining accounting records (preauthorized payments, a limited number of account payables and account receivables) plus preparing month-end financial reporting. ?
  • Assist in preparation of HST rebate applications and charitable information return ?
  • Provide administrative and bookkeeping support for all fundraising activities including registration components for events and data entry ?
  • Maintain smooth operation of office, including ordering office supplies and maintaining business machines ?
  • Act as a positive ambassador of the Foundation and advising the Executive Director in a timely manner when issues may arise or have occurred that impact the Foundation ?

Job Title: Administrative Assistant/Accounting Support

Reports to: Executive Director

Date Prepared: July 5, 2019

Salary Range: $36,000 - $42,000 based on skill and experience

Benefits: Medical and dental package, plus vacation (pro-rated)

Standard Hours: 8:30 am – 4:30 pm (these may vary with operational requirements)

Term: 18 month term

Qualifications

 

  • Previous administrative assistant and bookkeeping experience ?
  • Results-orientated and able to work both independently and within a team environment 
  • Attention to detail and accuracy
  • Must be able to adapt and operate effectively within new and challenging environments ?
  • Up–to-date knowledge of financial and accounting computer applications ?
  • Must possess excellent written, verbal, analytical, organizational and interpersonal skills ?
  • Proficiency in using a variety of software packages, such as Microsoft Office Suite and computerized accounting software.
  • Previous fundraising software experience considered an asset. The ability to produce correspondence, documents, spreadsheets and databases. ?
  • Excellent troubleshooting skills. ?
  • Ability to take significant direction and work independently ?
